Tellem Privacy Policy

This is an English translation of the Russian document. In case of any discrepancy, the Russian version prevails.

1. About this Policy

1.1. This Policy explains what information is used in the operation of Tellem, who may have access to it and how the User can manage their privacy.

1.2. The owner of the platform is Limited Liability Company "Mirro" (ОБЩЕСТВО С ОГРАНИЧЕННОЙ ОТВЕТСТВЕННОСТЬЮ «МИРРО»; hereinafter, the Company):

1.3. The Policy applies to the platform on the tellem.tech website, including the Tellem personal account (tellem.tech/lk), on tellem.store subdomains and on connected domains where a link to it is placed, including when the catalog is opened inside Telegram, as well as to related support requests.

1.4. Detailed purposes, legal grounds, periods, User rights and the procedure for processing personal data are set out in the Tellem Personal Data Processing Policy. These documents apply together; matters of personal data processing are governed by that Policy and the law.

1.5. Reading the documents does not replace consent where consent is required. Consent to the processing of personal data (for buyers, for Tellem personal account users, when submitting a request on the website) and consent to receive advertising are given separately from reading the policies.

2. The platform and the shop

2.1. Tellem ensures the technical operation of catalogs, the CRM, the personal account, orders and connected features. The goods and services of a particular shop or venue are provided by its Seller — an organization or individual entrepreneur, a Tellem client.

2.2. The Seller is the operator of the data relating to orders, delivery, the loyalty program, mailings and other CRM features of its shop. The Company processes this data on the Seller's behalf (under its instruction) and stores the databases on its servers. For its own purposes — Tellem personal account user accounts, security, support — the Company is the operator.

2.3. Tellem documents do not replace the Seller's documents. The Seller publishes its name, contact details and documents (shop rules, offer, seller's policy) in its shop profile; they can be reviewed before placing an order.

3. What information is used

3.1. Depending on the features used, this may include:

  • Account data: name and other profile information provided, email, phone, user identifier, sign-in and access recovery information, linked accounts (Telegram, Google, Yandex, VK).
  • Tellem personal account data: connected shops, subscriptions and payments for the use of Tellem.
  • Order data: goods or services, quantity, cost, status, recipient contact details, delivery address and comment, payment and refund information.
  • Loyalty program data: participation in the program, bonus balance, accruals and redemptions, related orders.
  • Requests: contact details for the reply, correspondence with support and materials provided by the User.
  • Requests from the tellem.tech website: name, phone, name of the venue or company and its number of locations, chosen plan, the page from which the request was sent and the referral source.
  • Technical information: IP address, browser and device information, session identifier, persistent device identifier, authorization events, technical errors, language and interface settings.
  • Information for the Seller's analytics: the referral source (UTM tags), which is linked to the customer after sign-in, views of products and categories.
  • Information about connected channels: identifier of the linked Telegram account or chat; technical details of the browser notification subscription, if notifications are enabled.
  • Consent information: the fact and terms of giving consent, its changes or withdrawal; for mailings — who changed the setting and when.

3.2. It is not necessary to provide all the listed information to browse the catalog. For sign-in, ordering or delivery, the data necessary for the relevant feature is used. Mandatory fields must be marked in the interface.

3.3. Do not include passport details, medical information, passwords, confirmation codes or bank card details in comments and requests unless they are required in a secure process specifically provided for this purpose.

4. What the information is used for

4.1. The information is used to provide access to the service, place and support orders, operate the loyalty program, provide analytics to the Seller, respond to requests, handle requests from the website and contact the people who sent them, protect accounts, fix errors and comply with legal obligations. For the Seller's purposes, processing is carried out within the limits of its instruction and the legal grounds.

4.2. Messages about sign-in, access recovery, orders and other features in use are service messages. The shop's informational mailings are not advertising: they are sent by default, and the User can opt out of them in the shop profile at any time. Advertising is sent only with separate prior consent. The Seller is responsible for the content of the shop's mailings. Opting out of mailings and advertising does not prevent the receipt of service messages necessary for the chosen feature.

4.3. Browser permission to show notifications does not in itself replace consent to advertising or the required consent to data processing.

4.4. If the Seller has enabled the CRM AI assistant, the Seller's employees can request customer and order data in it. This data is transferred to the AI provider chosen by the Seller. Conversations with the assistant are deleted after 14 days.

5. Sign-in via external services and payment

5.1. When the User chooses to sign in via Google, Yandex, VK or another available service, Tellem receives data within the scope of the access granted by the User: the external account identifier and, if provided, the name and contact details. When Telegram is used, the information necessary to link the account and operate the chosen feature may be transferred.

5.2. The available services are determined by the shop settings. The processing of information by the external service itself is governed by its documents; the Company retains its obligations with respect to the processing it carries out.

5.3. When the User goes to the payment service page, card details are entered with that service. Tellem uses information about the amount, identifier and result of the payment to support the order. Do not give the card security code to the Seller or to Tellem support.

6. Who may have access

6.1. Access is granted to the extent necessary and where there is a legal basis:

  • to the Seller and its authorized employees — to operate the relevant shop;
  • to authorized employees of Mirro LLC — for support and maintenance of the platform;
  • to the hosting and storage provider — individual entrepreneur Vladislav Olegovich Lopushenko (2cloud.pro) — to operate the infrastructure;
  • to payment services (for example, T-Bank, Alfa-Bank, YooKassa, Tochka, ArcoPay, Robokassa, Sberbank, BetaTransfer) and delivery services (CDEK, Yandex Delivery, Ozon) — for the chosen method of payment and receipt of the order. Ozon receives the phone number already when the delivery cost is calculated;
  • to the Seller's accounting systems and integrations (for example, iiko, the Seller's scripts) and to the AI provider chosen by the Seller;
  • to the DaData address suggestion service — the text of the address being entered;
  • to communication and notification providers — email services (by default, the Tellem account in Yandex 360), Telegram, browser push services — for the chosen message channel;
  • to Amplitude — information about the work of sellers' employees in the CRM, without buyer data;
  • to Telegram and email services — notifications to employees of Mirro LLC about requests from the tellem.tech website;
  • to Yandex Metrica (YANDEX LLC) — information about visits to the product pages of the tellem.tech website;
  • to public authorities — in cases provided for by law.

6.2. Data is not published for public access and is not sold. If a particular feature involves publishing the User's information, its terms and the necessary legal basis must be determined separately.

6.3. The Company limits the access of employees and contractors to their tasks and sets requirements for confidentiality and information protection.

7. Cookies and similar technologies

7.1. Tellem uses cookies and similar technologies (browser local and session storage): cookies in the Tellem personal account, browser storage in the catalog. They store the sign-in session and parameters for signing in via an external service, the selected shop, sales zone or table, language and interface settings, flags recording that the cookie notice was closed, that age was confirmed and that app installation was declined, a persistent device identifier (deviceId) and referral tags (UTM tags). This allows work to continue after the page is refreshed; after sign-in, referral tags are linked to the customer for the Seller's analytics.

7.2. Tellem does not place third-party advertising or analytics counters in the catalog or the personal account. If the Seller connects its own scripts or integrations, the Seller discloses them itself.

7.3. The product pages of the tellem.tech website (except the personal account) use Yandex Metrica (YANDEX LLC): it stores cookies and collects visit information, including session recording (Webvisor) and click maps, to assess traffic and advertising performance. The contents of the request form fields are not included in recordings. See Section 6 of the Personal Data Processing Policy for details.

7.4. The User can clear site data or restrict its storage in the browser. This may end the authorization or reset the settings. Server-side account and order data is not automatically deleted when the browser is cleared.

8. Storage and protection

8.1. Retention periods depend on the purpose and are set out in Section 9 of the Personal Data Processing Policy. Once the grounds cease, the data is destroyed or further processed only if there is another legal basis.

8.2. Databases, their backups, the file storage and view statistics are hosted on the servers of the hosting provider — individual entrepreneur Vladislav Olegovich Lopushenko (2cloud.pro, TIN (INN) 634506297302, OGRNIP 319631300043836) — in the Russian Federation, in the Samara Region.

8.3. When certain features are used, data is transferred outside the Russian Federation: to Telegram (including notifications to the Company's employees about requests from the tellem.tech website), browser push services (Google, Apple, Mozilla, Microsoft; the notification content is encrypted), Google — when signing in with it, the AI provider chosen by the Seller, and Amplitude (European Union) — only data of sellers' employees in the CRM. Tellem documentation pages, including this one, are hosted on GitHub Pages and use Google Fonts: these services receive the visitor's IP address. The CRM interface loads fonts from Google Fonts, and the CRM error page also loads a script from unpkg.com: these services receive the CRM user's IP address. See Section 8 of the Personal Data Processing Policy for details.

8.4. The Company applies protection measures, including access restriction, protection of communication channels, monitoring of security events and incident response. The User should protect their device, not share sign-in details with others and end the session on shared devices.

9. How to manage your data

9.1. The User can change the available information in the profile, opt out of informational mailings in the shop profile, end active sessions and disable browser notifications in the browser settings. If the required action is not available in the interface, a request can be sent.

9.2. To obtain information, correct or delete data, withdraw consent or opt out of advertising, write to tellem.service@yandex.ru or send a written request to the registered address. Include information that allows the relevant account to be found and the substance of the request. If necessary, the Company will request proportionate information to verify identity.

9.3. Upon a deletion request, data is depersonalized or destroyed within 30 days, and destruction is documented in a certificate (act). Deletion does not always mean immediate destruction of all information: certain data may be retained to comply with the law or on another independent legal basis, for example, information about consents. The reasons and periods of such retention are communicated in the established manner.

9.4. If the request concerns processing by the Seller, the User may contact the Seller using the shop's contact details. User rights and response periods are described in detail in the Personal Data Processing Policy.

10. Policy updates

10.1. The current version is published at https://orgtellem.github.io/legal/privacy-policy/ (English translation: https://orgtellem.github.io/legal/en/privacy-policy/) and is available free of charge, without registration or authorization, including via the link in the catalog footer. Previous versions are kept in the "Legal documents" section.

10.2. A new version states its date and the date it takes effect. Publication of changes does not replace obtaining consent where consent is required for new processing.
